Travel Service AB, company registration number 556439-4210, is the data controller for processing where we determine the purposes and means of the processing ourselves, for example in connection with certain travel bookings and when you contact us directly.
When we arrange a business trip, conference or event on behalf of another company, we may also process personal data on behalf of that company. In such cases, the client company may be the data controller and Travel Service processes the data within the scope of the relevant assignment.
The information we need depends on the type of trip or arrangement. This may include:
Name and contact details
Date of birth and other information required for bookings
Travel and booking information
Passport details where required for the trip
Dietary, accommodation or other practical requirements
Information that you provide in connection with a booking or registration
We only collect the information needed to administer and deliver the relevant service or arrangement.
When Travel Service administers a trip, conference or event on behalf of a company, participants may provide their details through a dedicated registration page.
The information is used to administer participation and to arrange the bookings and services included in the trip or event.
The information is stored in the systems and services used by Travel Service for travel and event administration.
We process personal data in order to:
administer registrations and bookings
book and arrange travel, accommodation, transport and other travel services
plan and deliver conferences, meetings and events
communicate important information before and during the trip
provide service and support
comply with legal requirements and other legal obligations
Processing is carried out on the legal basis that applies to the relevant situation, for example in order to perform a contract, comply with a legal obligation or pursue a legitimate interest. Where consent is required, it is obtained separately.
In order to deliver a trip or arrangement, relevant personal data needs to be shared with the suppliers involved.
This may include:
airlines and other transport providers
hotels and other accommodation providers
local travel suppliers and partners
organisers and activity providers
providers of IT, booking and registration systems
We only share the information required for each supplier to provide its part of the service.
As Travel Service arranges travel worldwide, it may be necessary to transfer personal data to, for example, airlines, hotels or other suppliers outside the EU/EEA.
When personal data is transferred to a country outside the EU/EEA, the transfer is handled in accordance with applicable data protection legislation and using the safeguards required for the relevant transfer.
We retain personal data for as long as it is needed for the purpose for which it was collected, and thereafter only for as long as there is a legitimate need or a requirement under law or contract.
Information collected for a specific conference, group trip or event is deleted or anonymised when it is no longer needed for the arrangement or for subsequent administration.
Certain information may need to be retained for longer in order for Travel Service to comply with, for example, accounting requirements or other legal obligations.
We take technical and organisational security measures to protect personal data against unauthorised access, loss, alteration or disclosure.
Access to personal data is limited to those individuals and suppliers who need the information in order to carry out their duties or provide their services.
Depending on the type of processing involved, you have rights under the General Data Protection Regulation, including the right to:
obtain information about the personal data we process about you
request the correction of inaccurate or incomplete information
request the deletion of information in certain circumstances
request that processing be restricted
object to certain processing
in certain cases, receive your information in order to transfer it to another organisation
withdraw consent where the processing is based on consent
If Travel Service processes your information on behalf of another company, we may, where appropriate, refer your request to the organisation that is the data controller.
